Gantt Chart

Long before agile development and continuous development, Henry Gantt created the Gantt Chart, a project schedule with a bar chart.

Whereas many project management tools are task-oriented, Gantt provides a project timeline of planning, scheduling, dependencies, deadlines and progress over a given period of time. If you’re a visual person, like myself, Gantt is far more digestible than a list of to-do’s. This template will create graphs, show you the actual duration of your project and help you monitor progress.

Input your Activity and the Planned duration and End date. The delta and horizontal bar chart will automatically change to reflect the current status. You can share with your team at any point to evaluate your project progress.

This is a great template for short-term and long-term goal setting, setting the direction and focus for your team. You may also want to check out Microsoft Project for your Gantt Chart.

Kanban

Weekly Team Meeting

If your team is anything like our team, you probably have weekly stand ups or all-hands... or whatever new phrase tech people are calling them.

I’ve been in many of these meetings over the years and one of the ways I’ve found them to be helpful rather than a waste of an hour is diligent note keeping. Usually, there are lots of ideas and plans floated around. They continue to spin into the ether for weeks, sometimes months, without being addressed. Don’t let those ideas or plans to go waste!

Record your notes in the Meeting Notes sheet. RACI Matrix

One of the best memes in the history of the internet is where two Spider-Man’s are pointing at each other. 

Finger-pointing can be common in the workplace, as people aren’t always sure what their role is until or unless it’s specifically laid out. 

RACI Matrix has a cool acronym, and purpose, as it allows you to designate roles among stakeholders - R stands for Responsible. A stands for Accountable. C stands for Consulted. I stands for Informed. 

A simple tool like this can actually make a big difference in your organization. It doesn’t refer to deadlines, tasks or budget - simply, who is most involved and what role do those not directly participating have in the project. That way you can easily identify dependencies.

Gap Analysis

This is one of our most popular templates, as it contains a highly visual dashboard for understanding the progress and ‘gaps’ in performance. Managers can use this template to evaluate progress by department and priority.

Setup your Database by entering your Departments List, Gap Answer, Priority, and Completion % options. This sheet allows you to customize this template based on your organizational standards.

Earned Value Analysis

Similar to Gap Analysis, this template evaluates the planned vs. actual performance, but in terms of cost and budgeting rather than overall progress. This template ensures you are not going overbudget, as we know the domino effect a problem like that can setoff.

After you fill out the Setup sheet, enter your Task Fulfillment % and Cost Per Hour for the Planned and Actuals sheet. 

Based on your inputs, like Project Budget, the Summary sheet will automatically calculate your Earned Value, Cost Variance and Schedule Variance. This Excel spreadsheet helps you manage resources and evaluate whether more resources required.

Burndown Chart

How fast are you working through your tasks?

That's the question the Burndown Chart answers. Whereas the Gap Analysis examines specific projects and their progress, this agile framework simply looks at how fast you're clearing through your task list. If you want to know whether your team is moving fast or slow, this is a solid gauge for measuring that. Dynamic charts and graphs plot your progress according to your planned vs. actual performance. You can easily view what percent complete you're at and plan accordingly.
